Privacy Policy

This policy explains how personal data is handled on the website and portals of DEMO BASIC SCHOOL. The school is responsible for the personal data of its learners, parents and guardians and staff. Smart Basic School by Clean Code GH hosts and maintains the system and handles that data only on the school's behalf. The school follows Ghana's Data Protection Act, 2012 (Act 843).

1. Information the school keeps

2. Why it is used

To admit and teach learners, record attendance and assessment, prepare reports, bill and receive fees, contact parents and guardians, run the school, keep accounts secure and meet legal duties. The school uses the information only for these school purposes. It does not sell personal data and does not use it for advertising.

3. Who can see it

Authorised school staff, according to their role; parents and learners, for their own records through the Student Portal; and service providers who help run the system: Smart Basic School by Clean Code GH (hosting, backups and support), SMS and email providers (messages the school sends) and payment providers (online payments). They may use the data only for that service. The school also shares information where the law requires it.

4. Children

Most learner data is about children. The school collects it from parents and guardians at admission and from its own teaching, keeps it under its authority as a school, and limits who can see it. Parents and guardians may ask the school about their child's data at any time.

5. Keeping and protecting it

Records are kept while the learner or staff member is with the school and afterwards for as long as the school needs them for reports, transcripts, fees, legal duties or disputes. The system uses access control by role, hashed passwords, protected sessions, encrypted connections where the address starts with https, and regular backups. No system is completely secure; tell the school at once if you notice misuse.

6. Your rights

Subject to the law, you may ask the school what data it holds about you or your child, ask for a copy, ask it to correct wrong information, and ask it to delete or stop using information it no longer needs. You may object to messages that are not needed for school business. The school may ask you to prove who you are first. You may also raise a concern with Ghana's Data Protection Commission.

7. Changes

The school will update this page when its practices change and show the new date here.
